Use
You can maintain the copy control rules between contracts.
The following parameters are available:
- Reference Item Category/Default Item Category
- You define the item category for both the reference document type and the target document type.
- Copy Schedule Lines
- You can define whether schedule lines are copied or not.
- Positive/Negative Quantity
- Negative
- The copied quantity reduces the quantity of the referenced item. This can be useful when copying quantities from a pre-contract to a contract. For example, suppose you create a contract with reference to a pre-contract that contains 100 kg of wheat. If you create a contract item for 80 kg of wheat, the pre-contract quantity is reduced by 80 kg. The next time you refer to that same pre-contract, only the remaining 20 kg can be copied.
- Zero
- The copied quantity has no effect on the referenced item quantity. That is, it may be used as a copy rule between a contract template and an actual contract.
- Positive
- The copied quantity increases the quantity of the referenced item. This can be useful if you are canceling a contract. For example, you can create a quantity contract as a base contract, then create a contract with reference to this base document. If you cancel a follow-on contract, the contract quantity is returned to the reference contract item.
- Update Document Flow
- You can define whether the document flow is updated. For example, if you create a new contract by copying an existing one to avoid entering the same data, the document flow between these two documents is unnecessary. In this case, the user can select Do not create document flow records.
- Do Not Copy Batch
- If you set this flag, the batch information of the referenced item is not copied.
- Only Copy Approved TC
- If you set this flag, only contracts with the status "Approved" can be copied.
Requirements
Standard settings
Activities
Define the reference contract type and target contract type, then define parameters for each case. If you do not make any entries, the system will not allow copy function use.
Example
You might create a copy rule between a sales memo and a contract as follows:
- Item Category:
- Define the type used in the document
- Copy Schedule Lines:
- Do not copy schedule lines
- Positive/Negative Quantity:
- Zero
- Update Document Flow:
- Create document flow record
These setting would allow you to copy the customer name and material number into the contract, but no quantity data is copied into the contract document. Document flow from the sales memo is available so that the user can see the entire business flow at a glance.
