Use
This step brings together many of the basic settings you maintained in earlier steps to control how a trading contract of this type is processed.
External Number
- External Number Active
You may set this option to allow or not an external number. Activating the External Number allows you to enter an external reference numbrer in a trading contract.
Settings
This area consists of various parameters related to the trading contract itself. Several parameters have a close relationship to the business scenario. Assignment should be done with great care.
Checks
In this field, you define how the system should process this contract type based upon missing data:
- Incompleteness Group
This defines the rule for checking incomplete data. In the trading contract, when the fields defined in the incompleteness group are missing, the system writes an entry to a log and you are not allowed to approve the trading contract. You create the group in advance, based on the contract characteristics.
- Completeness Check Flag
If this flag is set, the system does not allow you approve a trading contract if there is any incomplete data. If it is not set, the system allows you approve a trading contract even if there is any missing data, but you cannot release the follow-on document.
- Quantity Check
This flag is used for back-to-back contracts.
If this flag is set, the system checks whether purchase quantity exactly matches the sales quantity at the item level. If there is any difference, the system writes an entry to a log and does not allow you to change the status to Approved.
If the flag is not set, the system compares the item quantity, but will allow you to release the follow-on document even if there is quantity discrepancy.
Default Values
You specify whether, and what values certain data, such as currency, exchange rate and person responsible, is suggested when creating a trading contract of this type. You can also define the default document status when creating a contract and a second default status for when the contract has been approved.
Messages
You can set the message schema at both header level and item level. You can assign three types of messages to a trading contract: text for vendor, customer, and internal employees.
You should check in advance to see which message schemas are available. You can also create a new message schema.
Define Responsibilities
You can define the default responsibility group per trading contract type. The responsibility group must have already been created in Portfolio Management Customizing if you want to use this. The default group can be changed in the document.
- Trading Contract Group
The trading contract group is the key parameter for connecting trading contracts and the Trading Execution Workbench. Without this data, you cannot process a contract of this type in TEW.
Associations
This setting controls the deactivation of association functions for one side of a trading contract. In the case of a back-to-back trading contract, you can deactivate purchasing or sales, or neither. If you deactivate either side, no associations can be made for the items on that side. The same also applies to any follow-on documents on the deactivated side of the contract.
