This IMG activity explains how to set up the required window.

The number of wage types and the quantity of wage type-dependent data can vary greatly from employee to employee. Payroll results for certain personnel numbers commonly contain values for numerous wage types, while the payroll results for other personnel numbers contain values for only a few wage types. For this reason, displaying wage type values as fixed layout items would lead to inconsistencies and omissions in remuneration statements for individual employees. To avoid this, wage types and wage type-dependent data are usually displayed in a window.

A window is a freely definable rectangular area on a form. It is characterized as follows:

  • The data in the window are only printed on a remuneration statement if there are values for this data in the payroll results for the employee concerned.

  • The data in the window is printed without unnecessary blank lines and may therefore appear on different lines in different remuneration statements.

    The line on which such data is printed depends on the following two factors:

    • the amount of data printed in a window for an employee
    • the group number and subgroup number assigned in the step "Set up wage types in window", which determine the sequence in which the wage types are printed

      As a rule, data on one wage type is printed in each line.

  • The data in the window can be distributed between several pages when the remuneration statement is printed. This always takes place if the quantity of data printed for an employee in a window exceeds the number of lines defined for the window.

    Window data for which more than one page is required always appear in the same predefined window area.

The characteristics described allow employee-specific data to be printed without omissions on the remuneration statement.

Note

You can usually display all wage types and wage type-dependent information in a single window. However, you can also choose to work with more than one window. Should you decide to do so, the individual windows must not overlap.

Please take the following into account when setting up a window.

Size of window

A window is always defined by its four corners. The corners are determined by the line area and column area of the window:

  • The line area is defined by the start line and end line of the window.

  • The column area is defined by the left margin and right margin of the window.

The entry field for the line area always consists of two characters and the entry field for the column area always consists of three characters.

As a general rule, try to define as large a window as possible to ensure that the information printed in the window is not split up and then printed on more than one page. This should lead to a considerable saving in the amount of paper used for such printouts.

Window identifier

Windows are identified by the window code (such as "F1"). The code always consists of two digits and can be alphabetic and/or numeric.

Note that window codes "UW", "SW" and "VB" have special meanings and must not be used in new forms.

EXAMPLE

You want to set up window "F1", which starts in line 24 and ends in line 59, for form "ZF01". The left margin of the window should be in column 08 and the right margin in column 77. To do this you must make the following entries:

The window is identified by window code "F1". The start line and end line as well as the left and right margin of the window should be defined under "Line area" and "Column area" respectively.
