This IMG activity explains how to set up the required text modules.
Text modules generally contain one or more text elements which can be combined with graphic elements (for example, "Personnel number", "Tax bracket/children", "Your administrator is"). They must be set up for all data required in a remuneration statement that fulfils the following criteria:
- The data does not belong to the form background.
- The data is the same on every remuneration statement and is printed in the same position.
- The piece of data is longer than 10 characters.
Text modules can also be set up for data which satisfy both of the first two criteria the length of which is 10 characters or less. This is especially recommended in the following instances:
- The same form is needed in several languages.
In this case, the use of text modules ensures that the form in question can be printed in more than one language since text modules, unlike most data (such as fixed layout data), must be assigned to a language indicator. As a result, every text module for a certain form can be stored several times in the system under the required language indicators and the respective languages. When creating the remuneration statement the system uses the text module entry whose language indicator matches the printout language specified for creating the remuneration statement.
- The data appear in several positions on the form (such as dotted lines) and may be changed at a later date.
In this case, the use of a text module reduces the time required to change the form, since only the text module must be changed rather than every entry containing the data in question.
IDENTIFICATION OF TEXT MODULES
Every text module must be assigned an identifier by which it can be addressed. The identifier (such as "TEXT01") is stored in the following four fields:
- Window code
- Group number
- Indicator for the position of the text
- Continuation indicator
The character string "TEXT" is stored in the fields Window code and Group number for every text module.
The serial number of the text module is stored in the Indicator for the position of the text and Continuation indicator fields. The Indicator for the position of the text field represents the tens column for the number, and the Continuation indicator field the units column.
EXAMPLES
You will find an overview of the abbreviations used in the examples under the heading "Abbreviations used" at the end of this activity.
Example 1:
You want to set up the text module "Personnel number" for form "ZF01" with identifier "TEXT01". To do this you must enter the following:
Wndw G I C ....+...1....+....2....+....3....+....4....+....5
TE XT 0 1 Personnel number
The text module identifier is stored from left to right in the four fields Window code, Group number, Indicator for the position of the text and Continuation indicator. The text module itself is entered in the text area.
Example 2:
You want to set up the text module "Personnel number" for form "ZF01" with identifier "TEXT01". The remuneration statements are to be printed in German and English. In this example, you must proceed as follows:
- Press the function key Execute in the structure.
- A window appears entitled Determine work area: Entry. In the Language indicator field, enter a D for German and a corresponding country grouping. Then click Continue.
- Create the following text module:
Wndw G I C ....+...1....+....2....+....3....+....4....+....5
TE XT 0 1 Personnel number
- Exit the entry screen by pressing the function key Back.
- Press the function key Continue in the structure again.
- A window appears entitled Determine work area: Entry. In the Language indicator field, enter an E for English and a corresponding country grouping. Then press the function key Continue.
- Create the following text module:
Wndw G I C ....+...1....+....2....+....3....+....4....+....5
TE XT 0 1 Personnel number
The example shows that a text module for remuneration statements in several languages must be created in all required languages for printout. The language of the text module must correspond to the language indicator.
ABBREVIATIONS USED
In the examples shown, the following abbreviations are used:
Wndw Window code
G Group number
I Indicator for the position of the text
C Continuation indicator
