When setting up information in the payroll journal, you define the following:
- The information printed in the page header
- The information printed in a payroll excerpt
- The information printed in the totals display
All information to be printed in a payroll journal must be saved as an individual field on a fixed position.
Note that the position (line number, column number) in the payroll journal can not be used in the same way it is used in other forms (for example, remuneration statement, payroll account). For details, refer to "Position (line number, column number)".
For further information, refer to the documentation on the form editor. You have one of two ways of accessing this:
- In the system, choose "Help -> SAP Library"
- In the transaction for the form editor, choose Help -> Extended help.
Page type
The page type is used to determine whether information should be printed in the page header, in a payroll excerpt or in a totals display in the payroll journal. You can choose the following page types for the payroll journal:
- "FP"
Information marked with "FP" is printed in the page header of the payroll journal.
- "EP"
Information marked with "EP" is printed in the payroll excerpt of the payroll journal.
- "LP"
Information marked with "LP" is printed in the totals display of the payroll journal.
Position (line number, column number)
The line number specifies the line of the page header, the payroll excerpt or the totals display in which the information should be printed.
When assigning the line number, note:
The line numbers must be assigned without gaps (continuously) for the page header, the payroll excerpt and the totals display. The first line area must be used for the page header, the second line area for the payroll excerpt, and the third page area for the totals display.
Example:
The page header in your payroll journal has six lines, the payroll excerpt five lines, and the totals display four lines. In this case, you must enter the following page types and line numbers for information in the payroll journal:

Information in totals display LP 12-15
This example shows that the line numbers for the payroll excerpt and for the totals display do not start at "1", but that the start line of the payroll excerpt and the totals display is always calculated from the total number of lines taken up by the preceding display types. In this example, a total of 6 lines (page header) precedes the payroll excerpt; thus it must start at line 7. A total of 11 lines (6 lines header plus 5 lines payroll excerpt) precedes the totals display; thus it must start at line 12.
Blank lines
If you want one or more blank lines to be printed between the different display types, you should define these blank lines as the last lines of a display type and add them to the respective area of lines.
Example:
The page header in your payroll journal has six lines, the payroll excerpt five lines and the totals display four lines. You want two blank lines to be printed between the page header and the payroll excerpts, and two blank lines between the page header and the totals display. You also want one blank line to be printed between each individual payroll excerpt. In this case, you should enter the following page types and line numbers for the payroll journal:

For the page header, you must choose a line area which is two blank lines longer. Create these blank lines for the last two lines of the payroll excerpt, lines 7 and 8 in this case. For the payroll excerpt, you should choose a line area which is one blank line longer. Create this blank line for the last line of the payroll excerpt, line 14 here.
Blank lines created in your form with the form editor, do not appear in the payroll journal.
To create a blank line, you must create a blank single field with the desired page type in the line using the form editor. A blank individual field can be a constant value with the value <blank> or a blank text module.
Identifier (Wage type)
The following conventions apply to the totals of wage types to be printed in the totals display:
- Only the totals of wage types that also appear in the individual payroll excerpt (page type "EP") can be printed in the totals display (page type "LP").
- The entries for a particular wage type in the payroll excerpt and in the totals display must be identical in the fields Identifier, Table field and Table.
Procedure
Make the required entries using the form editor. Choose the activity for the form editor, and set up the individual fields for the payroll journal.
