In this step, you create the standard texts used as a template for applicant correspondence.

Requirements
- You must already have specified a Word processing system. This is important so that you can create the standard texts in the editor of your choice and store them in the appropriate format.
- You should have analysed which standard texts you require for which activity types. It is possible to store more than one standard text for one activity type.
- You must have specified the variables to be used.
- You must also have made the settings for supplying the variable with values.
Standard settings
The standard system contains various examples of standard texts. These can be used as a template when creating your own standard texts. The standard texts are divided into the following two groups:
- SAPscript format
- RECEIPT (confirmation of receipt)
- ON-HOLD (put applicant on hold)
- REJECTION (rejection)
- INVITATION (invitation to interview)
- PRELIMINARY-RECEIPT (interim reply)
- OFFER-CONTRACT (offer contract)
- CONTRACT (contract)
- Word for Windows format:
- WW-RECEIPT (confirmation of receipt)
- WW-ON-HOLD (put applicant on hold)
- WW-REJECTION (rejection)
- WW-INVITATION (invitation to interview)
- WW-PRELIMINARY-RECEIPT (interim reply)
- WW-OFFER-CONTRACT (offer contract)
- WW-CONTRACT (contract)
Please note that the standard texts for SAPscript format are stored under the PALT text ID.
Recommendation
Create at least one standard text for all activities that involve correspondence with the applicant. You can make changes to these for each individual application. The modified letter is stored with the application.

Create the standard texts you require under the PALT text ID.
Further notes
The standard default style and format are used for these letters. If you want to change these, you can assign your own style or format to the APP-LETTER text object using transaction SE75.
Standard texts are treated as application data treated by SAP. Therefore there is no automatic connection to the transport system. If you want to copy the texts between different clients in a system, use the transaction functions to create texts. If you want to send standard texts to a different system, please code the transport manually as follows:
