In this step, you generate the customer wage types that will be used in your system to process scholarships, fellowships, and forms of compensation to be paid to non-resident aliens. To this end, you will copy some or all of the model wage types found in this IMG step, which all begin with Q, to customer wage types, which begin with a number.
Upon copying these model wage types to the customer name range, you may modify them to suit the specific processing requirements of your enterprise. However, the only wage types that can be copied in this step are those relating to payroll processing for non-resident aliens.
Standard settings
As delivered, the standard SAP system uses the following six model wage types to process payroll for non-resident aliens.
- Q152 - Qualified Scholarship
- Q15X - Fellowship
- Q17X - Compensation Dependent
- Q18X - Compensation Teaching
- Q19X - Compensation Study
- QXXX - Compensation
The designations of the above wage types correspond to their income and exemption codes on Form 1042-S, and consequently, to their values in processing classes 74 and 75.
To illustrate, amounts in wage type Q152 belong to income code 15 and are assigned a value of 15 in processing class 74. These amounts belong to exemption code 2 and are assigned that value in processing class 75. In contrast, wage type Q15X corresponds to income code 15 and a value of 15 in PRCL 74, but carries no clear exemption code/PRCL 75 value.
In addition to the values in processing classes 74 and 75, three new values in processing class 71 affect taxation on payments made to non-resident aliens. These new values are as follows:
- 5 - under this value, no taxes are levied on the payment
- 6 - under this value, no taxes except FICA are levied
- 7 - under this value, all taxes except FICA are levied
Recommendation
We recommend that you perform a test run of the wage type duplication process before generating the customer wage types to be used in your system. To this end, select the Test run checkbox in this IMG step if you are duplicating these wage types for the first time.
Moreover, for the sake of expedience, we recommend that you use a single number in the customer name range to replace the Q found in the model wage type name range. For example, copy Q152 to 1152, Q15X to 115X, and so on.
Activities
To create the customer wage types that will be used in your system to process payroll for non-resident aliens, proceed as follows.
- Execute this IMG step.
- Select the Copy function on the Wage Type Maintenance dialog box, then Continue.
- Review the wage types found in the Copy Wage Types screen, then select the one(s) that you would like to copy.
- For each wage type you have selected, enter a name for the duplicate wage type in the CWType column, a description in the Wage type text column, and a short text in the ShText column. The name you enter must be four characters in length; the first character should be a number.
- Select Copy.
Once you perform these steps, the system will copy the wage types you have selected, then generate a log of the changes that have been made to corresponding wage type tables. You may now modify the customer wage types to suit the specific processing requirements of your enterprise.
Note
If you would like to perform a test run of the wage type duplication process, as recommended above, select the Test run checkbox, then select Copy. This will create a test copy of each wage type that you selected from the duplication screen.
If you are satisfied with the test copies that have been made, then return to the duplication screen, deselect the Test run checkbox, and select Copy.
Moreover, if you require multiple copies of the selected wage types, then select Make copies of wage type from the duplication screen.
