SAP delivers a full set of preconfigured tax forms assigned to the appropriate tax form classes. SAP recommends that you use these forms. If you use the SAP-delivered forms, you do not need to perform this step.

If, however, you need to create and use copies of SAP-delivered forms, you must carry out the activities in this IMG step. In the first activity, you copy the SAP-delivered forms to your name range. You then need to verify that your copy uses the correct SAPscript reference form for printed forms. If your copy does not use the correct SAPscript reference form, it will not print properly. In the second activity, you assign the copies of the tax forms to the appropriate tax form classes.

Activities

To copy the SAP-delivered forms:

  1. Execute the Copy tax forms step.
  2. On the Change View "Tax form definitions": Overview screen, select the form you wish to copy and choose Copy as....
  3. On the screen that appears, specify a new name for your copy in the Tax form field and make any other necessary changes.
  4. Choose Enter to copy the form.
  5. On the Specify object to be copied dialog box, choose Copy all.
  6. Choose Continue on the confirmation dialog box.
  7. You are now on the Change View "Tax form definitions": Overview screen.
  8. Save your entries.

To verify the correct SAPscript reference form:

  1. On the Change View "Tax form definitions": Overview screen, select the original of the form you copied and choose Issuing of tax forms.
  2. On the Change View "Definition, when a form output should be done": Overview screen, select each SAPscript form (those records where the SAPscript radio button is selected) and choose Details.
    • Note: When you access some forms, you go directly to the Details screen.
  3. Check whether the For this output level, use form field contains an entry. This entry is the SAPscript reference form.
    1. The field will contain an entry if Tax Reporter refers to an alternate form to control output. You do not have to do anything to your copy of the original SAPscript form. Your copy will use the save alternate form for form output.
    2. If the field does not contain an entry, you need to perform an additional step to allow your copy of the form to output correctly. Enter the technical name of the original form you copied into this field in your copy of the form.

Example

You copy the California SUI form from HR_F_UNEMP_CA to ZHR_F_UNEMP_CA. After you select HR_F_UNEMP_CA and choose Issuing of tax forms, you see that the first two records are SAPscript forms.

Select the first record, which corresponds to Unemployment form per tax company, and choose Details. Because there is no entry in the For this output level, use form field, you must access your copy of the form (ZHR_F_UNEMP_CA) and enter HR_F_UNEMP_CA in this field.

To assign your tax form to the appropriate tax form class:

  1. Execute the Assign tax forms to tax form classes step.
  2. On the Determine Work Area: Entry dialog box, choose the appropriate tax form class.
  3. On the Change View "Tax Form Relations": Overview screen, choose New entries.
  4. In the first Tax form field, enter the SAP-delivered original form that you copied in the first activity.
  5. Define the period in which your copy of the form should be used instead of the SAP form.
  6. In the second Tax form field, enter the copied form that corresponds to the SAP-delivered original form that appears in the first Tax form field.
  7. Save your entries.

Example

You copy the SAP-delivered tax form for Federal W-2s (HR_F_W2) to your name range (e.g. ZHR_F_W2). As delivered by SAP, the Federal W-2 form HR_F_W2 is assigned to tax form class A100. In the second step of the activity, you therefore assign your form ZHR_F_W2 to tax form class A100.

Further notes

If you copy an SAP-delivered tax form without assigning your copy to the appropriate tax form class, the SAP-delivered tax form will still be used.
