It is common business practice to grant employees an entitlement to a bonus once they have reached a certain anniversary. This is referred to as long-service leave. Employees can usually take this leave at any time until their next entitlement to long service leave when they may forfeit any remaining long service leave, depending on the company's policies.

Example

A company grants 37.5 hours of long service leave to employees who have worked for the company for 10 years. It grants 75 hours of leave 5 years later, when an employee has worked for a total of 15 years.

Activities

To set up long service leave, you must process the following steps, some of which are in Customizing for Personnel Time Management and some of which are in Customizing for Payroll New Zealand:

  1. In Customizing for Personnel Time Management under Time Data Recording and Administration -> Managing Time Accounts Using Attendance/Absence Quotas -> Calculating Absence Quota Entitlements -> Rules for Generating Absence Quotas -> Define Transfer Rules for Quota Entitlements define a transfer rule, for example "Long service leave 10/15 years" if your company grants long service leave after 10 and 15 years of service. (See also Set Up Transfer Rules and Date Types in Payroll New Zealand).
  2. In Customizing for Personnel Time Management under Define Generation Rules for Quota Selection, create one or more selection rules for the appropriate combination of:

  • Employee subgroup grouping for time quotas
  • Personnel subarea grouping for time quotas
  • Personnel subarea grouping for time recording
  • Quota type selection group
  • Absence quota type

  1. Ensure that the Accrual period is defined as Relative to date type and contains a date type equivalent to "hire date minus one day" which you have previously created in the Date Specifications infotype (0041).
  2. Enter the Length 999 months. This ensures that although long service leave is technically accrued, the accrual period is so long that it is the equivalent of a grant.
  3. Enter the rules for Base entitlement. These must correspond to the transfer rule you created in step 1 and should be based on the accrual period, for example:
    37.5 hours from 000 to 010 years of seniority based on accrual period
    75 hours from 010 to 015 years of seniority based on accrual period
  4. Under Transfer time, choose Transfer rule and choose the transfer rule you created in step 1, for example "Long service leave 10/15 years".
  5. Define whether employees must forfeit remaining long service leave which they have already been granted (for example, after 10 years) when they are granted the next entitlement (for example, after 15 years).
  6. In Customizing for Payroll New Zealand under Absence Payments -> Quota Accruals Transfer to Entitlement -> Set Up Transfer Period and Frequency, define how long employees must have worked for your company before long service leave accruals are transferred to entitlement and how often this happens, for example after 10 years and after 15 years. The date type must be the same as the one defined in the Accrual period tab page in the selection rule (see above).
  7. Using the same path under Set Up Leave Without Pay Rules, define whether a leave without pay absence (LWOP) delays the transfer of accrual to entitlement and if so, how.
  8. If you defined that LWOP absences affect the transfer, define whether the deduction period for existing long service leave entitlement is automatically extended under Maintain Dynamic Action for Extension of Deduction Interval.
