Use

In this step, you specify whether you have your occupational absences payments (OXP) as notional or actual for each of your employee groups.

Generally, this decision is completely down to the customer's own business practices and these have been grouped into the four possible options for sickness and maternity as follows;

1) OXP notional.

Some clients will choose to not make a physical payment to the employee called OSP. The amount due will simply be part of the employee's basic pay. In this way, the employee does not receive Basic Pay and OSP they simply receive Basic Pay. If the employee has been sick for a sufficiently long period then the employee's Basic Pay will be reduced from Full Pay (i.e. the employee's Part Period Factor (PPF) will be reduced from a whole pay period to a fraction of a whole pay period. The employee's basic pay is then multiplied by the PPF.)

2) OXP payment.

Some clients will chose to make a physical payment to the employee called OSP. The amount due will simply be added to the employee's basic pay. In this way, the employee receives Basic Pay and OSP. Basic Pay is paid for the days when the employee is not absent and OSP is paid for the days when the employee is absent. If the employee has been sick for a sufficiently long period then the employee's Basic Pay plus OSP will be reduced from Full Pay. (i.e. the employee's Part Period Factor (PPF) will be reduced from a whole pay period to a fraction of a whole pay period whenever the employee is sick during a period. However, if the employee is still on Full Pay OSP the reduced Basic Pay will be "topped up" back to full Basic Pay by the OSP payment which is generated for the days absent.)

Requirements

The standard SAP settings are that the absence payments are treated as ACTUAL payments. In this way the wage types created are physically paid and the employees basic pay is reduced by the proportion that they are absent in the pay period.

Standard settings

The SAP recommended set up is that OAP, OPP, OSP and OMP are set up as payments for all your employee groups. To complement these settings, the Counting Classes used for adjusting the employee's Part Period Factor (when they are absent) are all made completely UNPAID (T554C). In this way, Basic Pay is only paid for days when the employee is working and the OAP, OPP, OSP and OMP are made when the employee is absent due to adoption, paternity, sickness or maternity.

SAP, SPP, SSP and SMP are not included in this section as they will necessarily be paid or not depending on how much OSP and OMP is paid on the same days. This is detailed in the decision trees in the next section on "Absence Offsetting" which will dictate whether or not SAP, SPP, SSP or SMP will actually be paid.

SSP will not be paid if the employee is on full pay.

SSP will be paid if the employee is on reduced pay and either

    a) they do have the maximum amount of OSP offset, but their OSP is less than SSP or

    b) they do not have the maximum amount of OSP offset.

SMP will be paid if the employee is on full pay as a proportion is recoverable.

SMP will be paid if the employee is on reduced pay and either

    a) they do have the maximum amount of OMP offset, but their OMP is less than SMP or

    b) they do not have the maximum amount of OMP offset.

SAP will be paid if the employee is on full pay as a proportion is recoverable.

SAP will be paid if the employee is on reduced pay and either

    a) they do have the maximum amount of OMP offset, but their OMP is less than SMP or

    b) they do not have the maximum amount of OMP offset.

SPP will be paid if the employee is on full pay as a proportion is recoverable.

SPP will be paid if the employee is on reduced pay and either

    a) they do have the maximum amount of OMP offset, but their OMP is less than SMP or

    b) they do not have the maximum amount of OMP offset.

Activities

Set the switches to correspond to your Business Requirements for your different employee groups.

Example

1) You pay your employees OSP and have decide to make OSP a payment wage type. (SSP should be notional unless it needs to actually paid - when the employee is on reduced pay.) The feature GFMSA must return 'X' for the PAYTY = OSP and your specific employee group.

Firstly, Basic Pay must only be paid when the employee is not absent due to Sickness. The valuation classes set up for OSP (T554C) must be 100% UNPAID as you intend to physically pay OSP. The value of the Wage Type OSPP will be added into the employee's gross pay and the Wage Type OSPP will be posted to finance (check that the configuration of the postings matches your requirements).

The Wage Type OSPP will already have the legislative offsetting applied to it, so that OSP + SSP cannot exceed Full Pay.

On Full Pay OSP the employee will receive Basic Pay + OSP = Full Pay.

On Half Pay OSP the employee will receive Basic Pay + SSP + Half Pay OSP to a maximum of Full Pay.

On Nil Pay OSP the employee will receive Basic Pay + SSP.

In the later two cases, the wage type SSPP will be created with the value of SSP that must be paid.

2) You pay your employees OSP and have decide to make OSP notional. (SSP should be notional unless it needs to actually paid - when the employee is on reduced pay.) The feature GFMSA must return ' ' for the PAYTY = OSP and your specific employee group.

Firstly, Basic Pay must be paid when the employee absent due to Sickness. The valuation classes set up for OSP (T554C) must be PAID at the same percentage that they are entitled to as you do not intend to physically pay OSP, instead it will simply be part of Basic Pay. However, there will occasions when SSP will be paid and this will imply that the employee will be overpaid if the Basic Pay is not reduced. The value of the Wage Type OSPP will be negative and equal the amount of the overpayment. It will be then added into the employee's gross pay and the Wage Type OSPP will be posted to finance (check that the configuration of the postings matches your requirements).

The Wage Type OSPP will already have the legislative offsetting applied to it, so that OSP + SSP cannot exceed Full Pay.

On Full Pay OSP the employee will receive Basic Pay = Full Pay.

On Half Pay OSP the employee will receive Basic Pay + SSP and if this exceeds Full Pay OSPP wil contain the over-payment as a negative value.

On Nil Pay OSP the employee will receive Basic Pay + SSP.

In the later two cases, the wage type SSPP will be created with the value of SSP that must be paid.
