Use

The IMG activity Set Up Health Insurance Funds comprises two activities:

Create HI Funds and Adjust Contribution Rates.

  • Create HI Funds
    You use this activity to create the statutory health insurance funds, which you then assign to the appropriate employees in the Social Insurance D (0013) infotype.
    You also enter various data for each health insurance fund here, such as the following:
    • Address and bank details
    • Health insurance contribution rates
    • Fixed health insurance and care insurance contributions for the contribution scale for those with voluntary and reduced voluntary health insurance
    • Level table for health insurance and care insurance

      Note
      If the employee fund is not to be the responsible collection point for the all social insurance contributions, but the contribution statement is sent instead to the federal state associations or federal associations of the health insurance funds, you must create these separately here.
      If the contribution statements of the health insurance functions are transferred by EDI, you create a separate fund for this here.
      You also create the receipt funds for DEUEV (German Data Entry Regulation) notifications here.

      You enter private health insurance funds in IMG activity Set Up Additional Health Insurance Funds, not here.

  • Adjust Contribution Rates
    You must always perform this activity whenever you have entered or changed contribution rates for health insurance funds under Create HI Funds point Provide Health Insurance Contribution Rates for Adjustment (table T5D1J).
    With the activity Adjust Contribution Rates, the system compares the contribution rates you entered (table T5D1J) with the entries in point Health Insurance Contribution Rates Relevant for Payroll (table T5D1I) and, if necessary, updates the payroll-relevant contribution rates that are actually used in the payroll.
    You can display table T5D1I in the activity Create HI Funds. This table is empty when you create a new health insurance fund. The system copies your new entries and the changes you make to the health insurance fund contribution rates from table T5D1J to table T5D1I in the activity Adjust Contribution Rates.
    You can then delete your entry in table T5D1J, for example, to document that you have performed the activity Adjust Contribution Rates. The deletion of an entry in table T5D1J does not affect table T5D1I.

    Note
    If you have changed contribution rates in the payroll past, the activity Adjust Contribution Rates also sets a recalculation date for all affected employees in the Payroll Status (0003) infotype, so that correct contributions can be calculated by the recalculation.

    This two-level procedure also ensures that, even in case of subsequent changes, the payroll-relevant contribution rates (table T5D1I) always match the contribution rates actually used in the payroll. For this reason, you cannot change the payroll-relevant contribution rates (table T5D1I) directly, but have read-only access to them.

Activities

  1. Create a new health insurance fund.
    To do this, choose the activity Create HI Fund and enter a unique key and the validity period of the health insurance fund.
    1. Under Basic Settings for Health Insurance Fund, enter general information for contribution calculation, contribution payments, and DEÜV (German Data Entry Regulation).
      This includes the company number and the health insurance fund type (for example, AOK(statutory health insurance fund), BKK (employer-specific insurance fund), or IKK (guild insurance fund)), as well as the category (employee fund, receipt fund for DEUEV (German Data Entry Regulation) notifications or contribution statements, or EDI fund), and the legal area (East or West).
      Assign the appropriate category to each health insurance fund, because this controls the input options and checks.
    2. Note
      Please note that the company number and legal area for a health insurance fund cannot be changed over time, even if delimited in time due to a change in the contribution calculation procedure, for example.
      In addition, under Basic Settings for Health Insurance Fund you define how the health insurance and care insurance contributions are calculated for those with voluntary and reduced voluntary health insurance.
      The following contribution calculation procedures are possible:

  • In most health insurance funds, the contribution for voluntary insurance is calculated by using a percentage multiplied by the assessment threshold (percentage calculation).
  • In some replacement funds, the contribution is a fixed value, depending on the contribution scale (fixed value calculation).
  • In a few employer-specific health insurance funds, the contribution is calculated by multiplying a percentage with the SI gross amount (gross calculation).
  • For those with reduced voluntary health insurance, the contribution can also be determined from a level table (level calculation).

    You must define the contribution calculation for both health insurance and care insurance.
    If you have no information as to how a health insurance fund calculates its contributions, for both health insurance and care insurance, enter percentage calculation for voluntary insurance and gross calculation for reduced voluntary insurance.
  1. Under Address and Bank Details, you can enter several branch offices (but at least one) for a health insurance fund, and the address and bank details of the health insurance fund.
    The address of the health insurance fund is printed on the contribution statement.
    The bank details are used for data medium exchange with health insurance funds. For this reason, you only need to enter bank details for those branch offices to which you transfer contributions.
  2. Under Provision of HI Contribution Rates for Comparison, you enter the contribution rates of the health insurance fund.
    You must enter the general, increased, and reduced percentage for each health insurance fund.
    If you administer recipients of pension plan payments, also enter the percentage for retirees.
    As of 2006, you must also enter the contribution rate and reimbursement rate for the U2 contribution amount.
    If you have companies with an obligation to pay contributions, you must also enter the contribution rate and reimbursement rate for the U1 contribution amount.
  3. Under Payroll-Relevant HI Contribution Rates, you can display the contribution rates that are currently used for contribution calculation in payroll.
  4. Under Contribution Classes for Health Insurance, you can create contribution classes for health insurance and the related fixed contributions.
    You only need to perform this activity if you have entered fixed value calculation in the Basic Settings for Health Insurance Fund as a calculation procedure for HI contributions for voluntary insurance or reduced voluntary insurance.
  5. Under Contribution Classes for Care Insurance, you can create contribution classes for care insurance and the related fixed contributions.
    You only need to perform this activity if you have entered fixed value calculation in the Basic Settings for Health Insurance Fund as a calculation procedure for CI contributions for voluntary insurance or reduced voluntary insurance.
  6. Under Level Table (Health Insurance and Care Insurance), you can create level values for voluntary reduced insurance.
    You only need to perform this activity if you have entered level calculation in the Basic Settings for Health Insurance Fund as a calculation procedure for voluntary insurance or reduced voluntary insurance.

  1. If you have entered or changed health insurance fund contribution rates in the activity Create HI Fund under Provision of HI Contribution Rates for Comparison, then perform the Adjust Contribution Rates activity.
