For trainee employees in the Public Sector, the remuneration is factored according to the rules defined in the Collective Agreement for Trainees. In the system, the remuneration is reduced in the personnel calculation rule DOE1 in accordance with these rules:
Payment = trainee remuneration * (day factor - hourly deduction)
Note; Special rules apply for students who work in nursing.
Calculation of day factor
If the employee is not entitled to trainee remuneration for all days in a calendar month, the calculation of the remuneration for individual days is based on 30 days ($ 8 par. 3 clause 1 of the Collective Agreement for Trainees).
Day factor = entitlement calendar days / 30 days
The day factor has a maximum value of 1. In months with 31 calendar days, the day factor has the value 1.
Example
The trainee Steven Smith takes 3 days unauthorized leave in May. His trainee remuneration is DM1,000. This must be reduced for May.
Calculation of day factor: 28 days / 30 days = 0.933333
Payment: DM1,000 * (0.93333 - 0) = DM933.33
Calculation of hourly deduction
If the employee is not entitled to remuneration for individual hours, the trainee remuneration is reduced by 1/167.40 for each hour not worked (§ 8 par. 3 clause 2 of the Collective Agreements for Trainees).
The hourly deduction is calculated in personnel calculation rule DOE1 using the following formula:
Hourly deduction = unpaid absence hours / monthly working time in hours
The personnel calculation rule DOE1 uses the monthly working time in hours for the factor 167.40. The system uses the value for the monthly working time from the Basic Pay infotype (0008). This value is maintained for each employee for the Hrs/mon field.
Example
The trainee Karen Kohl takes 3 hours unpaid leave on January 2, and 4 hours unpaid leave on January 10. Her remuneration (DM1,000) must be reduced accordingly for January.
Calculation of hourly factor: 7 hours / 167.4 hours = 0.041816
Calculation of day factor: 29 days / 30 days = 0.966667
Payment: DM1,000 * (0.966667 - 0.041816) = DM924.85
Further notes
For students in nursing, the factoring is based on the BAT rules. This means that for the pay scale types 53, 61. and 61, the system accesses personnel calculation rule DOE3 from personnel calculation rule DOE2. This rule performs the factoring in accordance with the BAT (see Factoring Salaried Employee Payment Acc. to BAT).
