If an employee is not entitled to pay for a complete calendar month, only the portion of the remuneration for the entitlement period is paid (§ 2 par. 4, Fed. Civil Service Remuneration Act),
In the system, the remuneration is factored according to the following formula:
Payment = remuneration * (day factor - hourly deduction)
Calculation of the day factor
The day factor for each calendar day is calculated as the share of the remuneration that can be apportioned to an individual day based on the number of calendar days in the month:
Day factor = (calendar days in month - lost calendar days) / calendar days in the month.
Example
The public sector employee Sabine Summer takes 5 days special leave without pay in September. Her monthly remuneration is DM5,100. This must be reduced for September.
Calculation of day factor: (30 days - 5 days) / 30 days = 0.833333
Payment: DM5,100 * 0.833333 = DM4,250.
Calculation of hourly deduction
For individual absence hours, the deduction is based on the share of remuneration apportioned to an hour:
Hourly deduction = unpaid absence hours/ (calendar days * working hours per day)
The working hours per day are entered in the Daily working hours field in the Planned Working Time infotype (field ARBST).
Example
The public sector Bruno Brown has 3 unpaid leave days by May 5th. His regular weekly working time is 40 hours; this corresponds to a daily working time of 8 hours. His monthly remuneration is DM5,600.
Calculation of hourly deduction: 3 hrs / (31 days * 8 hrs/day9 = 0.012097)
With a day factor of 1 (= no lost days), the pay is multiplied by the factor 0.987903 and then reduced.
Payment: DM5,600 * (1 - 0.012097) = DM5,532.26
If Bruno also takes 2 more unpaid leave days in May, the calculated hourly factor will be subtracted from the corresponding day factor.
Calculation of day factor: (31 days - 2 days) / 32 days = 0.935484
Payment: DM5,600 * (0.935484 - 0.012097) = DM5,170.97.
