For employees covered by the German Collective Agreement for Local Authority Employees (BMT-G), pay is factored according to the rules defined in the BMT-G II §25 par. 2. In the system, these reductions are calculated using personnel calculation rules DOD2 and DOD3, whereby a distinction is made between an employee joining/leaving the company, and unpaid absences:

  • Joining/leaving company: payment = monthly wage * entitlement
  • Unpaid absences; payment = monthly wage * (1 - hourly deduction)

Factoring when an employee joins/leaves the company

If the employment relationship starts or ends during a calendar month, the pay for each hour worked is based on the total monthly basic wage and any regular wage bonuses converted into working hours (§25 par. 2 clause 1 BMT-G II).
The partial period remuneration for employees who join /leave the company during a month is calculated in personnel calculation rule DOD3 as follows:

Payment = monthly wage * entitlement
Entitlement = (hours to be remunerated - lost hours) / monthly working time in hours

The monthly working time in hours replaces the multiplication of the regular weekly working time by a factor 4.348. With a regular weekly working time of 38.5 hours, the monthly working time is 167.40 hours. The system uses the value for the monthly working time from the Basic Pay infotype (0008). This value is maintained in the Hrs/mon field for each employee.

Example

Mr Matthew Morris starts work on September 14, 1998. His weekly working time is 38.5 hrs; this corresponds to a monthly working time of 167.4 hours. In September, 169.4 hours could be worked (22 * 7.7 hrs = 169.4 hrs). In this example, Matthew has 69.3 lost hours (9 * 7.7 hrs = 69.3 hrs). The monthly wage is DM3,500. This must be reduced accordingly for September.

Calculation of entitlement: (169.4 hrs - 69.3) / 167.4 hrs = 0.597969.
Payment: DM3,500 * 0.597969 = DM2,092.89

Factoring for unpaid absences

If, in other cases, the wage entitlement is not for a complete month, the monthly wage for each planned working hour without wage entitlement is reduced by the total of the monthly wage and, if applicable, the wage supplements paid for the calendar month after this total has been converted to working hours. This applies as long as no other rules are stated in the collective agreement (§ 25 par. 2 cl. 2 BMT-G II).
Reduction due to unpaid absences takes place using the personnel calculation rule DOD2 and the following formula:

Payment = monthly wage * (1 - hourly deduction)
Hourly deduction = (lost hours / monthly working time)

Example

The employee Brigit Forester took 5 hours unpaid leave in September. The monthly wage of DM3,800 must be reduced for September. The monthly working time is 167.4 hours.

Calculation of hourly deduction: 5 hrs / 167.4 hrs = 0.029869
Payment: DM3,800 * (1 - 0.029869) = DM3,686.50.
