In this section, you make the settings for period calculation.
The IMG activities in this section are relevant for use in the public sector as well as the private sector.

In the German public sector, a different determination of periods is required for continued pay, the sick pay supplement, and the periods of notice of the employer and the employee. The system provides the following additional functions for these requirements, and you can also use them for the private sector:

  • The infotype Contract elements (0016) contains additional fields in which the system calculates and displays the pay scale periods. You can manually override the pay scale periods there.
  • If you create an absence time in the infotype Absences (2001) that includes continued pay, the system automatically determines the current continued pay period and the sick pay supplement period for this absence.

The periods of the supported pay scales are predefined in the standard system and are summarized in the function model 01 (Rule calculation by pay scale). In most cases, you can use this function model. For information about cases in which you may need additional function models, see the IMG activity Maintain Fixed Periods.

You have to use the period calculation function to assign all of the function models that you use (including the function model 01) in the feature ODMOD (organizational key of the function models in the public sector). To do this, choose the IMG activity Maintain Function Models. You can also use this for period calculation in the private sector.

The duration of some period types depends on the length of service or period of employment of the respective employee. To ensure that the beginning of the length of service or period of employment of your employees can be defined in the infotype Date specifications, you have to define corresponding date types for the employment period and length of service.

Certain absences such as work incapacity due to an industrial accident, or health cure measures are handled separately in the period calculation. To ensure that the system calculates the correct periods with these absences, you have to code your own absence types for period calculation.

Infotype Contract elements (0016)

In the case of period calculation for the public sector in Germany, the system calls screen 2001 instead of the standard screen of the infotype Contract elements. This alternative screen (2001) can also be used in period calculation for the private sector. The functions of this screen differ from those of the standard screen as follows:

  • The system displays the pay scale periods. These periods cannot be changed. However, the personnel administrator can enter different periods that override the pay periods.
  • The system valuates the pay scale periods on the key date specified in the infotype record. Depending on whether or not the current date is within the validity period of the infotype, the system proposes the following date as the key date:
    • Current date is within the validity period: key date is the same as the current date
    • Current date is before the validity period: key date is the same as the start date of the infotype record
    • Current date is after the validity period: key date is the same as the end date of the infotype record

The HR administrator can change the proposed key date as necessary to determine the periods for a particular date.

Infotype Absences (2001)

The pay scale periods and deviating periods that are displayed in the infotype Contract elements are used by the system to determine the default values for the corresponding absences, such as illness with medical certificate in the infotype Absences.
