Use

In this Customizing activity you can both configure which form type you want to be used for printing (SAPscript, PDF or SAP Smart Forms), as well as assign customer-specific forms to the logical form names.

Depending on the form group you choose, you can make these settings for entire form groups (such as HR_DE_ATZ) and also for individual forms (such as forms of form group HR_DE).

If you want to use the SAP standard settings, you do not need to make any settings here.

Note:
This is a general table framework for form control that is only used to a limited extent for this release.
Note that for German payroll only SAPscript forms are supported in the standard system.
In these cases, you can assign customer-specific SAPscript forms and delimit them for certain time frame.
The following short description for using this activity applies here:

  • In the SAP Form Groups view, select a form group (such as HR_DE) in the dialog structure.
  • Select a logical form (such as HR_DE_LSTB) in the dialog structure by choosing SAP Forms.
  • Assign customer-specific forms by choosing Customer Form Setting in the dialog structure and delimit them for a specific time frame.

You can also use the other functions of the table framework for customer-specific reports.

Requirements

Standard settings

Whether you can make the settings for the form type at form group level or also for individual forms within a form group depends on the default setting of the F.T.G. Exception check box in the SAP-Form Groups view.
The following applies for this check box:

  • Not selected
    If the check box for a form group is not selected, it is only possible to make a customer-specific setting of the form type for the entire form group.
    That means that the form type setting applies to all the forms contained in the form group and cannot be overwritten for the individual forms.
  • Selected
    If the check box for a form group is selected, customer-specific form type settings are not only possible for the entire form group but also for individual forms of each form group.
    That means that although the form type setting at form group level applies for all the forms contained in the form group, you can overwrite this setting for individual forms.
    Note:
    Since form groups for which the F.T.G. Exception check box is selected (such as HR_DE) are a collection of different forms that cannot be easily grouped into form groups with a uniform form type, the assignment to a form type usually first takes place at form level and there are no entries in SAP Form Group Setting and Customer Group Setting.

The following transactions are available for maintaining the forms:

  • PDF Forms        -> Transaction: SFP - Form Builder
  • SAPscript Forms    -> Transaction: SE71 - SAPscript Form
  • SAP Smart Forms        -> Transaction: SMARTFORMS - SAP Smart Forms

Activities

Procedure for form groups for which the F.T.G. Exception check box is not selected:

  1. Start the Customizing activity and enter the country grouping in the dialog box (01 for Germany).
    The SAP Form Groups view is called and the existing form groups are listed in the SAP Form Groups table.
  2. Select a form group in the SAP Form Groups table for which the F.T.G. Exception check box is not selected (such as HR_DE_ATZ).
  3. By double-clicking on SAP Form Group Setting in the dialog structure, you can display the SAP standard settings for this form group. The settings are automatically applied to the form group if there are no customer-specific settings.
    No changes are possible here.
    (For example, use of SAPscript forms until December 31, 2005, use of PDF forms starting on January 01, 2006)
  4. By double-clicking on Customer Group Setting in the dialog structure, you can make customer-specific settings (form type and time-based delimitation) for the selected form group.
    Note:
    You can only make settings that do not violate the specifications of the SAP standard settings for each form of the selected form group. Otherwise an error message appears.
    To display these specifications, proceed as follows:
    1. Select the form group you want.
    2. Double-click on SAP Forms in the dialog structure to list all the forms belonging to this form group, sorted by their logical form names.
    3. Select a logical form name in the SAP Forms table.
    4. Double-click on SAP Form Setting to display which type-specific forms in the SAP standard settings are assigned to the logical form name and in which time frame.
      Usually, the standard settings are the same for all forms of one form group.
    5. Double-click on Customer Group Setting to go back to the customer-specific settings for the selected form group (such as HR_DE_ATZ).

      Example:

  • There are two forms assigned to the logical form name HR_DE_ATZ_LISTE. One is a SAPscript form (HR_DE_ATZ_LISTE) and one is a PDF form (HR_DE_ATZ_LISTE).

    =>

  • This form (HR_DE_ATZ_LISTE) can be printed using both form type SAPscript and form type PDF.

  1. Choose New Entries and assign the form type you want to the form group.
    If the entered values do not match the specifications of the related forms, an error message appears. In this case, check the specifications of the forms again and adjust your settings.
  2. Choose Save.
    Now you have completed the settings for the form type. These settings are valid for all forms of the selected form group and cannot be overwritten for individual forms of this form group.

In the following steps, you can also assign customer-specific forms at form level to the logical form name, depending on the specifications of the SAP standard settings. If you do not assign any customer-specific forms, the SAP standard settings under SAP Form Setting are automatically copied.

  1. Double-click on SAP Forms in the dialog structure to list all the forms belonging to this form group, sorted by their logical form names.
  2. Select a logical form name in the SAP Forms table.
  3. Double-click on SAP Form Setting to display which type-specific forms in the SAP standard settings are assigned to the logical form name and in which time frame.

  4. Double-click on Customer Form Setting in the Customer Form Setting group box of the dialog box to assign your own (physical) forms, depending on the specifications under SAP Form Setting, to the logical form name and delimit them to a time frame.
  5. Choose Save.

Procedure for form groups for which the F.T.G. Exception check box is selected:

  1. Start the Customizing activity and enter the country grouping in the dialog box (01 for Germany).
    The SAP Form Groups view is called and the existing form groups are listed in the SAP Form Groups table.
  2. Select a form group in the SAP Form Groups table for which the F.T.G. Exception check box is selected (such as HR_DE).

In the following steps, you can also assign customer-specific forms at form level to the logical form name, depending on the specifications of the SAP standard settings. If you do not assign any customer-specific forms, the SAP standard settings under SAP Form Setting are automatically copied.

  1. Double-click on SAP Forms in the dialog structure to list all the forms belonging to this form group, sorted by their logical form names.
  2. Select a logical form name in the SAP Forms table.
  3. Double-click on SAP Form Setting to display which type-specific forms in the SAP standard settings in which time frame are assigned to the logical form name.
    Example:
    • There are two forms assigned to the logical form name HR_DE_D3_MELDUNG. One is a SAPscript form (HR_DE_D3_MELDUNG) and one is a PDF form (HR_DE_D3_MELDUNG).

      =>

    • This form (HR_DE_D3_MELDUNG) can be printed using both form type SAPscript and form type PDF.
  4. Double-click on Customer Form Setting in the Customer Form Setting group box of the dialog box to assign a form type and your own (physical) forms, depending on the specifications under SAP Form Setting, to the logical form name and delimit these settings to a time frame.
  5. Choose Save.
