Use

This organizational activity describes how to enable workflow rules for e-mail notifications on policies.

If a response is created based on a policy, then as soon as the policy reaches the Published status, an e-mail notification is sent out, enabling the stakeholders to edit the response effectiveness.

Requirements

Standard settings

SAP delivers standard workflow rules which can be overwritten.

Activities

The standard rule is based on business event 0RM_RESP_POLICY_UPDATE. You can check the setting of this business event via transaction SM30, view GRFNAGENTSLOTV.

The business event is linked with the entity RESPONSE and activity 01. This means that all roles with authorization for entity RESPONSE and activity 01 are selected as recipients when the notification is sent out.

You can check the list of roles via transaction S_BCE_68001423 as follows:

  1. Enter the authorization object 1 = GRFN_API as the first parameter.
  2. Click the Entry values pushbutton.
  3. Enter the authorization entity = RESPONSE as the next parameter.
  4. Finally, enter the parameter Activity = 01.
  5. Now run the transaction.
  6. The list of roles that receive a response notification is displayed.

If you wish to set up your own rule, call the Customizing activity Maintain Custom Agent Determination Rules. There you must create a new entry for the business event 0RM_RESP_POLICY_UPDATE and link it with the desired role. After this, users with the authorization for the role and the object will receive the corresponding e-mail.
