Use

In this Customizing activity, you can define the following:

  • Workflow loss event statuses
  • Status schemes, which are rules defining the possible statuses that can follow other statuses
  • Loss event types
  • Available statuses for a status scheme
  • Next available statuses
  • Workflow receiving agents

Requirements

Standard settings

Activities

To define new workflow loss event statuses:

  1. Select Statuses in the Dialog Structure on the left.
  2. Choose the New Entries pushbutton. The New Entries screen appears.
  3. In the Status ID column, type or select the three-character status identifier.
  4. In the Read Only column, select the check box to specify that the loss event status cannot be changed.
  5. In the Status of Loss Event column, enter a description of the loss event status.
  6. In the Button Text column, enter the label for the button that appears in the Loss Event panel.
  7. Choose the Save pushbutton.

To define new status schemes:

  1. Select Status Schemes in the Dialog Structure on the left.
  2. Choose the New Entries pushbutton. The New Entries screen appears.
  3. In the St. Scheme column, enter the two-character status scheme identifier.
  4. In the Status Scheme Description column, enter a description of the status scheme.
  5. Choose the Save pushbutton.

To define new loss event types:

  1. Select Loss Event Types in the Dialog Structure on the left.
  2. Choose the New Entries pushbutton. The New Entries screen appears.
  3. In the Type ID column, type or select the type identifier.
  4. In the Default column, select the radio button of the loss event type that you want to specify as the default for new loss events.
  5. In the Grouped L. column, select the check box to indicate that the loss event type represents a group of loss events.
  6. In the External column, select the check box to indicate that the loss event type represents an external loss event.
  7. In the St. Scheme column, type or select the associated status scheme.
  8. In the Num. Range column, type or select the associated number range.
  9. In the Loss Event Type Description column, enter a description of the loss event type.
  10. Choose the Save pushbutton.

To define the available statuses for a status scheme:

  1. Select Status Schemes in the Dialog Structure on the left.
  2. Select a status scheme in the table.
  3. Select Available Statuses for Status Scheme in the Dialog Structure on the left. The Available Statuses for Status Scheme Overview screen appears.
  4. Choose the New Entries pushbutton. The New Entries screen appears.
  5. In the Status ID column, type or select the status identifier.
  6. In the Initial column, select the radio button of the entry that you want to specify as the initial status for new loss events. In the Trigger WF column, select the check box to indicate that when the status is set for a loss event, the workflow is started (for the person specified in the Agent Determination for Statuses section, described below) and an item is sent to the person's work inbox (using the text defined in the Item Subject column).
  7. In the WF Status Relevant Date - Field Name column, type or select the field (in the Assessments > Loss Event Assessment > Loss Event Management Loss Event > Dates tab) to populate after the status is set.
  8. In the Item Subject column, enter the text that is to appear as the subject of the related work item.
  9. Choose the Save pushbutton.

To define the next available statuses:

  1. Select Status Schemes in the Dialog Structure on the left.
  2. Select a status scheme in the table.
  3. Select Available Statuses for Status Scheme in the Dialog Structure on the left. The Available Statuses for Status Scheme Overview screen appears.
  4. Select a status in the table.
  5. Select Next Available Statuses in the Dialog Structure on the left. The Next Available Statuses Overview screen appears.
  6. Choose the New Entries pushbutton.
  7. In the Status ID column, type or select the status identifier.
  8. Choose the Save pushbutton.

To define the workflow receiving agents:

  1. Select Status Schemes in the Dialog Structure on the left.
  2. Select a status scheme in the table.
  3. Select Available Statuses for Status Scheme in the Dialog Structure on the left. The Available Statuses for Status Scheme Overview screen appears.
  4. Select a status in the table. The status you select must have the Trigger WF check box selected.
  5. Select Agent Determination for Statuses on the left. The Agent Determination for Statuses Overview screen appears.
  6. Choose the New Entries pushbutton.
  7. In the Sort column, enter a value in the field. This value represents the rank of the entry, in ascending order.
  8. In the Role column, type or select a role. When a loss event assumes the status that you selected in Step 43, the system sends notification to users with the role you specify in this column (that are in the organization unit associated with the loss event). You can also specify fallback receivers for notifications using the Governance, Risk and Compliance > General Settings > Workflow > Maintain Fallback Receiver Customizing activity. Fallback receivers are users that receive the workflow when the system is unable to find any users in the specific organization unit for which the loss event is defined (or in any of the parent organization units in the organizational hierarchy).
  9. Choose the Save pushbutton.
