Use
In this IMG activity, you create the note types from which administrators can choose when they create notes in the note overview of the student file.
You also assign each note type one of the following categories:
- User-defined note
In user-defined notes, the administrator formulates the note text.
- Predefined note
In predefined notes, the administrator uses the note text you define in Customizing.
For note types in the both the user-defined note and predefined note categories, you define the options for the following note type references:
- Reference to an academic period (year/session)
- Reference to a program
- Reference to a stage (program dependency)
- Reference to a program type (program dependency)
Note: For information on the dependencies between references, refer to the respective field help documentation.
A reference can be optional, required, or not allowed. If a reference is optional or required, the system displays the corresponding field in note creation (as an optional or required field). The administrator can therefore enter a value and create a specific reference between the note and an object.
Examples
Possible note types are appraisal notes, graduation notes, disciplinary notes, and progression notes. You can set up these note types as follows:

Recommendation
If you want to prevent administrators from using a particular note type, set the indicator Inactive for this note type. This action locks the note type from further use.
Never delete a note type because existing notes of this type can then no longer be displayed.
Requirements
Standard settings
No note types are defined in the standard system.
Activities
- For each note type you require, enter an up to four-character alphanumeric key beginning with 9 and a description.
- Specify whether the note type is a user-defined note or a predefined note.
- Check the options for note references.
- For note types in the predefined note category, enter the note text.
