In this IMG activity, you assign the object types student, program, and module the key date category which is relevant for fee calculation.

In fee calculation and grant evaluation, the system takes into account the master data of the specified student, program, or module. As this master data is time-dependent, it can change in the course of the period for which fee calculation or grant evaluation is run. That is why the system requires a key date when it determines the relevant master data. The system determines this key date on the basis of the assigned key date category.

Each object type is assigned its own key date category. Therefore, the system can derive a different key date for each object type in the same fee calculation period.

Further notes

The following four key date categories are defined in the SAP system:

  • Key date category 01 (start date of the academic session)

    The following start date applies depending on the object type:

    • Program object type
    • Start date of the sessional registration within the academic period of the fee calculation period to be processed
    • Module object type
    • Start date of the module booking within the academic period of the fee calculation period to be processed
  • Key date category 02 (end date of the academic session)

    The following end date applies depending on the object type:

    • Program object type
    • End date of the sessional registration within the academic period of the fee calculation period to be processed
    • Module object type
    • Start date of the module booking within the academic period of the fee calculation period to be processed

Note: Key date categories 01 and 02 may only be assigned to the program or module object type, but not to the student object type.

  • Key date category 03 (start date of the standard academic session)

    This is the start date of the academic session assigned to the top organizational unit (standard time limit 0100 or the corresponding customer time limit)

  • Key date category 04 (end date of the standard academic session)

    End date of the academic session assigned to the top organizational unit (standard time limit 0100 or the corresponding customer time limit)

Note: Key date categories 03 and 04 can be assigned to all three object types (student, program, module).

You can define the start and end dates of an academic session in the academic calendar by assigning it time limit 0100 or the corresponding customer time limit (see also IMG activity Define Manadatory Time Limits for Academic Calendar).

Activities

Choose an object type and assign it a key date category.

Example

You have assigned the object types the key dates given below. When the system calculates the fees for fee calculation period 0001 (September 01, 2004 to February 28, 2005), it uses the following key dates:

Object type    Key date category    Key date

Student    Start date of standard session    01.09.2004

Program    End date of standard session    28.02.2005

Module    End date of standard session    28.02.2005

When the system calculates fees for a student, it uses the following master date:

  • The student master data valid on 01.09.2004
  • The program master data valid on 28.02.2005
  • The module master data valid on 28.02.2005
