Use
There are two types of synchronization: horizontal synchronization and vertical synchronization. Horizontal synchronization concerns objects that are on the same level but belong to two different applications, for example item and project. You use horizontal synchronization when you want the changes in one application to be reflected in the other application as well.
Vertical synchronization concerns objects which have a hierarchical relationship, for example, an initiative and an item. You use vertical synchronization, for example, if the dates in an item are to be limited by the dates of the initiative to which it belongs. The vertical synchronization setup is particularly customer-specific.
In addition to this core synchronization, DFM supports the roll-up of financial and capacity values from the linked items to an initiative. You make settings for this in Customizing for SAP Portfolio and Project Management -> Portfolio Management -> Global Customizing -> Portfolio-Independent Settings ->Define Financial and Capacity Views.
Requirements
Before you can start the actual synchronization of objects, you must have completed the following activities in Customizing for Portfolio Management:
- Portfolio-Independent Settings -> Map Item Template to Project Template
- Portfolio-Independent Settings -> Map Item Type to Project Type or Project Templates
Standard settings
Activities
Object Types
You specify which object types (such as initiative, project, item, decision point, and phase) are supported by decision flow management synchronization. You do this in Customizing for SAP Portfolio and Project Management -> Portfolio Management ->Base System Interfaces -> Decision Flow Management Settings -> Define DFM Object Link Types . We deliver standard Customizing settings, which you only need to change in exceptional cases. You specify which object types can be synchronized with each other in Customizing for SAP Portfolio and Project Management -> Portfolio Management -> Base System Interfaces -> Decision Flow Management Settings -> Maintain Objects for Synchronization.
For example, you can specify that an item is synchronized with a linked project. We deliver standard Customizing settings. You only need to make changes here if you want to deactivate synchronization between a specific object type pair.
Synchronization Mode
You can specify at what stage objects should be synchronized (for example, upon creation, updating, or deletion). Whether you need to change the delivered settings depends on your business process. In some scenarios (for example, in a project-leading scenario, where you cannot change an item directly, but instead only through synchronization with a changed project), it makes sense to always have synchronization. Whereas in other scenarios (for example, when data should only be synchronized when objects are created, but from that point on be maintained independently), synchronization beyond the point of creation does not make sense. We deliver standard settings in Customizing for SAP Portfolio and Project Management -> Portfolio Management ->Base System Interfaces -> Decision Flow Management Settings -> Define Execution Mode for Synchronization of Objects. Do not change the settings in this activity. You can, however, make settings specific to your own process in Customizing for SAP Portfolio and Project Management -> Portfolio Management -> Base System Interfaces -> Decision Flow Management Settings -> Define Customer-Specific Execution Mode for Synchronization. If you specify that that you want to create a Project Management project automatically from an item and vice versa, make settings for the item types and project templates in Customizing for SAP Portfolio and Project Management -> Portfolio Management -> Global Customizing -> Portfolio-Independent Settings -> Map Item Template to Project Template and
Map Item Type to Project Type or Project Templates.
You can synchronize objects either at the same time (synchronously) or with a delay (asynchronously). To ensure that there is no time delay in synchronizing data between systems, we recommend that you do not change the default settings (synchronous synchronization). You can change this setting in Customizing for SAP Portfolio and Project Management -> Portfolio Management -> Base System Interfaces -> Decision Flow Management Settings -> Maintain Asynchronous Options.
Data Synchronization
To actually synchronize data, you must specify which parts of the object you want to synchronize. You do this in Customizing using the activities under the following nodes:
- SAP Portfolio and Project Management -> Portfolio Management -> Base System Interfaces -> Decision Flow Management Settings -> Attribute Synchronization
- SAP Portfolio and Project Management -> Portfolio Management -> Base System Interfaces -> Decision Flow Management Settings -> Authorization Synchronization
- SAP Portfolio and Project Management -> Portfolio Management -> Base System Interfaces -> Decision Flow Management Settings -> Status Synchronization
For attribute synchronization, you must specify:
- Which different synchronization scenarios are relevant (Define Scenario ID)
- At which point in time which object types are synchronized (Maintain Attributes for Synchronization Scenarios)
- Which fields overall are synchronized (Maintain Object Synchronization Structures for Object Grouping, and Maintain Object Synchronization Structure for Object Link Type)
- Which specific fields in the different object types are synchronized (Maintain Field Mappings)
Attribute synchronization is customer-specific and depends on the specific business process being used. Therefore, we recommend that you review these settings.
For authorization synchronization and status synchronization, it is necessary to map the application-specific (SAP Portfolio and Project Management) values to a cross-application DFM value and vice versa so that the values between the different applications can be synchronized with each other. We recommend that you use the delivered Customizing settings in these areas.
