Use

In this Customizing activity, you can do the following:

  • Define portfolio item types
  • Link the portfolio item types to one or more decision points
  • Map the decision point status changes that will trigger a particular workflow to the ID of this workflow
  • Map the item status changes that will trigger a particular workflow to the ID of this workflow
  • Map the permitted item types available for switching to, depending on the decision point statuses
  • Enable item-type-specific metrics management

Decision points and status values interact as follows:
When a portfolio item type has passed through all the stages of a decision point and the status value is set to Approved, the current decision point becomes inactive. At the same time, the next decision point becomes active and its status value is set to In Preparation.
The status value of a decision point is only set to Not Active if the portfolio item type is passing through a decision point for the first time.

Requirements

Standard settings

There is no default configuration. You can freely define portfolio item types and decision points. You can link portfolio item types to as many decision points as you need.

Activities

Linking Item Type and Application

You maintain the item type and its text.

Additionally, you define the following:

  • Whether the item type is used as a proposal
  • Whether the system automatically creates a project at item creation time
  • Whether, in the classification area of the object, the system displays one column for the financial and capacity planning or two different columns, namely one for the financial factor and one for the capacity factor in percent.
  • Which project type will be used for a project in case no template is used to create a project.
  • If you have selected the Project System entry in the Link to Project System column, you can choose the following entries in the WBS Element/Network Activity column:
    • WBS Element: Default Setting
    • Network Activity (If you have switched on the 0002 Master Switch -> 0008 Enhanced Capital and Resource Mgmt Switch (see SAP Note 1457426))

Defining Portfolio Item Types

  1. Choose New Entries.
  2. In the Item Type column, enter an item type.
  3. In the Area column, select the base system to which you want to assign the item type.
  4. If you want to define the item type as a proposal, set the indicator in the Proposal column.
    When you set this indicator, all portfolio items assigned to this item type are displayed on the Proposals tab page of the Item Dashboard in the front-end application.
  5. Determine the Project Management project type that you want to use to create the Project Management project definition at the time of item creation.
    If a Project Management template has not been defined, the project type is used.
    If a template has been defined, a Project Management project is created by copying the template into an operation project.
  6. Select the item type and double-click Linking Item Types and Decision Points. Enter data in the Decision Point and Decision Point Name columns.
  7. Select the item type and double-click Permitted Item Types for Switching To, then map item types to switch to.
  8. Save your changes.

Editing Portfolio Item Types

  • To edit a portfolio item type description, overwrite the existing text.
  • To edit the decision points attached to a portfolio item type, select the portfolio item type and double-click Linking Item Types and Decision Points.
    • To add a new decision point to the portfolio item type, choose New Entries, and enter a decision point and a description.
    • To edit an existing decision point, overwrite the existing decision point name.
  • To edit the possible item types that can be linked to from the portfolio item type, select the porfolio item type and double-click Permitted Item Types for Switching To.
    • To add a new permitted item type for switching to, choose New Entries, and select a target type.

Linking Item Type and Decision Points

Here you define all decision points for this item type and the name of the decision point. If the proposal indicator for the active decision point of a item is set, the item is a proposal.

Decision Point Status

Here you define the possible statuses of a decision point, that is, start status or end status. You also define the icon for the statuses.

Decision Point Status - Next Statuses

You define the next possible status of a specific decision point status and the work flow to be triggered if the status values is changed. To map the decision point status change to workflow IDs, in the Workflow ID column, select the workflow relevant for the status change from the dropdown list.

Permitted Item Types for Switching To

Here you define which new item types can be chosen for switching to from the current item type. The available item types permitted for switching to depend on the current item type and the current active decision point or corresponding active phase. Depending on the active source decision point or phase, the system checks that in the new item type there are matches for each decision point or phase up to and including this source decision point or phase. You choose from a list of available successor item types.

Item Status

Here you define the possible item statuses of a item type, that is, start status or end status. You also define the icon for the statuses. You can assign an item status to a status group.

Item Next Status

You define the next possible status of a specific item status and the workflow to be triggered if the status value is changed. To map the item status change to workflow IDs, in the Workflow ID column, select the workflow relevant for the status change from the dropdown list.

Metrics Group

You define metrics groups that are specific for the portfolio item type. Each portfolio item can have different portfolio item types, for example, development project and project proposal. These item types may require different KPIs, which you can define here using portfolio-management-specific metrics groups.

You assign metrics groups to the item type (RIH) in the Object Type column, to group multiple metrics for a single item type.

You define metrics specific for the portfolio item type.

You assign metrics to the item type and metrics group.

Metrics Value Types

You define metrics value types that are specific for the portfolio item type.

You assign metrics value types to the item type and metrics group.
