Use

In this Customizing activity, you define financial views and capacity views:

  • A financial view is the combination of financial category and financial group that defines the process for the portfolio item (item), the item of initiative, the initiative, and the bucket.
  • A capacity view is the combination of capacity category and capacity group that defines the integration process for the item, the item of initiative, the initiative, and the bucket.

Processes for Financial View Types and Capacity View Types

The financial and capacity planning data for a portfolio item, item of initiative, initiative, and bucket is controlled by a process for view types, which determines how financial and capacity information must be filled. The following view type processes are available:

  • Manual
    All the categories and groups in this process contain manual entries. This view type process is available for portfolio items, items of initiative, initiatives, and buckets.
  • Integration
    All the views for the categories and groups for this view type process are read-only. This view type process is available for portfolio items and items of initiative.
    • For the financial planning, the system retrieves the data from the financial/controlling (FI/CO) system based on your settings in Define Financial Planning Settings and fills the financial data accordingly for the items and items of initiative.
    • For capacity planning, the system retrieves the data from the FI/CO system and from the underlying Project Management project based on your settings in Define Capacity Planning Settings and fills the capacity data accordingly for the items and items of initiative.
  • Rollup

    All categories and groups in this view type process are read-only. This view type process is only available for initiatives and buckets.

    The data for the bucket or the initiative is the sum of the data of all the child objects.
    Buckets can have portfolio items, items of initiative, and initiatives as child objects; initiatives can have items as child objects.

    If the view type process for a particular view for a bucket is marked here as Rollup, then the data of the bucket is the sum of the data of either of the following:

    • All the standalone items and initiatives under the bucket
    • All the standalone portfolio items and items of initiative under the bucket

      You choose the combination of child objects to be rolled up to the bucket in the Bucket Rollup Source column.

      If the view type process for a particular view on an initiative is marked here as Rollup, then the data of the initiative is the sum of the data of all the items under it.

  • Integration Based on Profitability Planning and Analysis
    This view type process is available only for items and only in financial views.
  • Capacity Assignment
    If you have switched on the 0002 Master Switch -> 0008 Enhanced Capital and Resource Mgmt Switch (see SAP Note 1457426)) and if you select the Capacity Assignment entry as the bucket process for a particular financial view or capacity view, you can assign resources to the bucket using that view. This view type process is available only for buckets.
    Note: If you select this entry you cannot make an entry in any other column of this Customizing activity for that particular view.
  • Others
    Business Add-Ins (BAdIs) are provided for any other process you want to implement. This view process is available on portfolio items, items of initiative, initiatives, and buckets.

Amount Types for Financial Views and Capacity Views

The financial and capacity planning values of an item or initiative can be used to calculate certain financial or capacity information in the item or initiative overview. By entering an amount type, you can specify whether a view is used for these calculations and which value it is used for:

These amount types are also used to identify planned costs and revenues during the automatic calculation of the net present value (NPV). Budget values are treated as planned costs during NPV calculation.
Note, however, that a view is only considered during the NPV calculation for items or initiatives if it has been flagged accordingly in the financial settings of the portfolio type (see view Link Portfolio Type to Financial View in the Customizing activity Define Financial Capacity Settings for Portfolio Types).

  • Amount Types for Capacity Views

Requirements

You have defined the financial planning settings in Customizing, by choosing Define Financial Planning Settings.

To use capacity assignment, you must have switched on the switch 0002 Master Switch -> 0008 Enhanced Capital and Resource Mgmt Switch (see SAP Note 1457426) in Customizing for SAP Portfolio and Project Management under Portfolio Management -> Global Customizing -> Global Settings -> Override Default Global Settings.

Standard settings

There is no default configuration. Financial views and capacity views are freely definable.

Activities

You can:

  • Define financial views
  • Edit financial views
  • Define capacity views
  • Edit capacity views

Defining Financial Views

  1. Choose New Entries.
  2. Enter values in the Fin. View and the Financial View Name columns.
  3. Choose the Amount Type from the dropdown list.
  4. Depending on your requirements, select the checkboxes for the availability of the view type for Item, Bucket, Initiative, and Item of Initiative.
  5. If the view is available for the respective object, choose the Item Process, Bucket Process, Initiative Process, and Item of Initiative Process from the corresponding dropdown list.
  6. Choose the Bucket Rollup Source from the dropdown list.
  7. Choose the Bucket/Initiative Rollup Source Filter from the dropdown list.
  8. If the view is available for items of initiative but not for portfolio items, you must maintain the Source/Target of Data field to prevent any loss of data.
  9. Save your changes.

Editing Financial Views

  1. In the editing mode, you can edit all columns apart from the Fin. View column.
  2. Save your changes.

Defining Capacity Views

  1. Choose New Entries.
  2. Enter values in the Cap. View and Capacity View columns.
  3. Choose the Amount Type from the dropdown list.
  4. Depending on your requirements, set the indicators for the availability of the view type for Item, Bucket, Initiative, and Item of Initiative.
  5. If the view is available for the respective object, choose the Item Process, Bucket Process, Initiative Process, and Item of Initiative Process from the corresponding dropdown list.
  6. Choose the Bucket Rollup Source from the dropdown list.
  7. Choose the Bucket/Initiative Rollup Source Filter from the dropdown list.
  8. If the view is available for items of initiative but not for portfolio items, you must maintain the Source/Target of Data field to prevent any loss of data.
  9. Select the Export to Project Management checkbox to determine whether the view is relevant for exporting capacity planning to Project Management roles.
  10. Save your changes.

Editing Capacity Views

  1. In the editing mode, you can edit all columns apart from the Cap. View column.
  2. Save your changes.

Note: You can only export the capacity planning data to the Project Management role once. After the export has been executed, you cannot retransfer or resynchronize the planning data.
