Use

In this IMG activity, you define the procedures and rules that the system uses to determine recipients of e-mail notifications. You can send these e-mail notifications automatically within the communication process, to forward attachments you receive in electronic messages from the customs authorities to one or more specific recipients. As a result, for example, you can automatically forward the EAD (export accompanying document) or TAD (transit accompanying document) directly to the responsible person for printout. When the system sends e-mail that contains attachments from the authorities, the responsible employee is determined according to the data defaulting rules that you define in this activity.

In this activity, you define the basic settings that the system uses to determine notification recipients. You define the rules for determining who will receive which notifications for which business transactions in master data maintenance. To start this activity, go to the area menu of SAP Global Trade Services (with transaction code /SAPSLL/MENU_LEGAL) and choose SAP Customs Management -> Master Data --> Default Data.

Activities

You can use the following parameters for the default data to determine the recipients of e-mail notifications:

  • Field combinations

A field combination is a group of fields whose content the system uses to determine the value for a target field. You can use all document fields as source fields or in field combinations.

  • Default schema

A default schema defines the rules according to which the system determines the recipients. You have to assign a name and a description to a default schema.

  • Default rules

The default rules in a schema define the sources of information that the system uses to determine the notification recipient as the target field. You can use the following target fields:

    • $MAIL_ADDR: e-mail address as specific value in the rule definition
    • $MAIL_PFCT: e-mail address of a partner with the desired partner function in the relevant customs declaration or customs shipment
    • $MAIL_LIST: Distribution list with e-mail addresses or other targets, such as SAP Workplace
    • $MAIL_USER: User for notification in SAP Workplace
  • Accesses

The accesses define the sequence in which the system attempts to determine the recipient(s) of the notification from the possible field combinations.

If you want to send additional notifications to an employee, a group of employees, or other people, to inform them of received electronic messages, you can configure the BAdI for Notification of Users After Receipt Message in CD and CS. If you implement this BAdI or use the provided sample implementation, the BAdI can use the default data to determine the recipients. You can also use this BAdI to modify recipient determination.

You can even configure your own notifications, for example, to notify the employee responsible for an inspection that the customs employees have announced with an electronic message.

If you want to send e-mail notifications in the communication process for supplementary customs declaration, you can use the following BAdIs: BAdI for Supplementary Customs Declaration: Modify Outbound Message or BAdI to Notify Users After Receipt Message in Supplementary Customs Declaration. Note that the data defaulting rules are not evaluated during e-mail dispatch in these BAdIs, however.
