Use

In this IMG activity you specify procedures and rules for automatically filling in document fields, both at header and item level, or listing messages for communication with the customs authorities. The generic default data allows you to fill target fields or provide the relevant messages on the basis of field combinations. You can also specify several field combinations as source scenarios (or accesses) for a target field. The system determines the sequence of the selected messages based on your settings in this IMG activity.

The target fields are filled automatically according to rules you define in this IMG activity. You assign a sequence number to define the order of the rules. The rules determine the order in which the target fields are filled. In the accesses, you define which source fields or source field combination the system queries to fill the target fields. If you do not define a source field combination for the access, the source condition is always fulfilled. The system can thus propose default fields in the application.

When you start the default data, the system first checks if the target field in the application is filled. When you start the default data for providing messages and documents, the system selects the specified messages and documents from the default data and compares them with both the settings for the process template and the settings for message determination in the application. The system follows the access sequence that you define in this IMG activity for each default rule. As soon as an access allows the target field to be filled on the basis of the defined field combination, the system cancels the search for other options for performance reasons, and continues with the subsequent rule.

You define the messages and documents that you want to assign to a default data rule in the application. You also define the values with which the target fields are filled on the basis of the source field combinations. If you do not want to fill the target field with a fixed value, but from the content of another field, you can use the Reference indicator in the definition of the source field combination. This indicator lets you allocate a reference field in the application, the content of which the system copies to the target field.

The automatic default data can be called manually in the application using a function button, or automatically when a document is created. The procedure transition also counts as creating a document, for example, exiting the transit procedure or the transfer to free circulation. The automatic default data for messages and documents is started when you call the "Communications" tab page in the dispatch procedure and customs handling services.

Note:

  • Document fields: If you have already filled target fields manually in the application, these entries are not overwritten by the automatic default data. The contents of the target fields as entered by the automatic default data can be overwitten manually at any time.
  • Messages: It is not possible to override undefined default data rules for messages with the settings in message determination. As soon as you enter default data rules for messages or documents in this IMG activity, the system ignores the message determination settings from the application. The system only uses the settings from message determination for screening. Therefore, have to define the default data rules in the application for the system to provide the messages or documents for communication with the customs authorities. To define the default data rules in the application, choose path SAP Customs Management -> Master Data -> Default Data.

Define a procedure and enter a description for it. Specify whether you want to use the procedure to fill document fields or provide messages.

Specify field combinations as source fields that are required in the accesses to fill the target field and provide the messages.

Define the target field for filling the document fields under the default rules, or enter parameter $MESSAGE to define the provision of messages or documents.

Create accesses for the individual rules that you want the system to use to fill the target field or provide the messages and documents, and assign the accesses a sequence number.

Assign the rules a sequence number to determine the order in which you want the fields to be filled.

Activate the default data.

Example

If you want the system to fill the target field Means of Transport Type with automatic default data, for example, you can trigger this using the Inland Mode of Transport and Mode of Transport at the Border fields as access 1. If you have only defined the Inland Mode of Transport as access 2 and the conditions for access 1 are not fulfilled in the application, the document field Means of Transport Type would be filled solely on the basis of the source field Inland Mode of Transport.
