In this section, you can make the settings required to create sales order versions.
Sales Order Versions
General
Certain data in a sales order item can be transferred to a new version, or to an existing version that is linked to the item. Certain data in a version can be transferred to other linked versions or to the sales order item. Linked copies belong to the same sales order item.
Technically, the versions are items saved in separate documents - version documents. If a sales order item has several versions, each version has its own version document.
To create a version in the sales order, use the Sales order versions - Send function.
Only sales orders items are relevant for general ERP functions. You cannot view versions outside the version management function and they are simply used to store data. There are no matchcode search functions or other worklists for version documents. You can only find them by choosing Sales order versions - Overview in the sales order.
Only one of the linked versions, or the item itself, is changeable at any one time. These changeable versions or items can be considered as the 'current' item, that is, the item that contains the most recent changes.
Transferring Version Data and Creating Versions
When you transfer data from an item or version, you usually transfer to a changeable version or item, or from a changeable item to a new version. The only exception is when you transfer data from a changeable version to an item.
- Send version data
This function sends data from the current document:
- From the changeable item to a new changeable version
- From the changeable version to the item
- From the non-changeable item or version to the changeable item or version.
In the first and third cases, the changeability is transferred as well.
- Adopt version data
This function adopts data in the current document:
- From the changeable version to the item
- From the item to the changeable version (reset).
In the first case, the changeability is transferred.
Comparing Version Data
The function Sales order versions - Compare compares the data of the current version or item with the linked item or version, from or to which the transfer functions would transfer the data. A partially changeable item would therefore be compared with the changeable version.
The functions described
Sales order versions - Send and Sales order versions -Compare always work with the current data of the document being changed. So it is not the database status, but the status changed by the user that is fetched or sent.
Data is transferred from the current document to another document in a separate function in the background. The system creates a log. The data in the 'receiving' document is saved, even if the displayed document is saved later.
When a version is deleted or the changeability is set from the original document (version overview list)changes to both documents (sales version document and original document) are saved.
