SAP Travel Management enables you to group trip countries with other trip countries or trip country groups. This trip country/
trip country group assignment is called a trip area hierarchy. The
trip area that is assigned to a trip country group is accounted
with the trip provisions of the trip country group.
Example 1
All trip areas within the European Union should be accounted according to the same reimbursement rates. Every trip area in the European Union can, for example, be assigned to the trip country group EU.
The advantage of this is that the common reimbursement rates only have to be stored for all trip areas in the European Union under the trip country group EU.
Example 2
Switzerland (represented by the country key CH for Switzerland) should be accounted according to the same reimbursement rates as France (represented by the country key FR for France). Trip country Switzerland can therefore be assigned to the trip country France.
Trip costs accounting then accesses the reimbursement rates assigned to the country key FR for trip country Switzerland.
In this IMG activity, you can assign different trip areas to another trip area. Furthermore, you will store the validity period of the assignment for each of these countries.
Note:
You set up and activate trip area hierarchies in the IMG Activity Travel Expenses Control (Expert View) (see line Other settlement, item 3).
Prerequisites:
You need to have defined the trip area to which you want to assign other trip areas in the IMG activity Define trip areas.
Activities
Call up the IMG Activity Assign Trip Country Groups
To assign a new trip area, proceed as follows:
- In the Change "assignment: trip country - trip country group -
trip region" view, use the new entries function.The detail screen New entries: Detail created appears.
- In the trip country and trip region fields, enter the country and trip region keys of the trip area you want to assign to a trip country group.
- In the beginning field, store the beginning date of the validity period for the assignment.
- In the end field, store the end date of the validity period for the assignment.
Note
The end date cannot be changed once the data record has been saved.
- In the meals group box, store the country key and the trip region key for the meals per diems to which you want to assign the trip area.
- In the accommodations group box, store the country key and the trip region key for the accommodations per diems to which you want to assign the trip area.
- In the travel costs group box, store the country key and the trip region key for the flat rates for travel costs to which you want to assign the trip area.
- Save the entries.
To change an existing assignment, proceed as follows:
- Select the relevant entry in the Change "Assignment: trip country - trip country group - trip region" view and use the detail function.
- In the beginning field, you can change the beginning date of the validity period of the assignment.
- In the meals group box, change the country key and the trip region key for the per diems for meals to which you want to assign the trip area.
- If necessary, in the accommodations group box, change the country key and the region key for the per diems for accommodations to which you want to assign the trip area.
- If necessary, in the travel costs group box, change the country key and the region key for the travel flat rates to which you want to assign the trip area.
- Save the entries.
