In this workstep, you determine the reference points and the selection priority for batch processing.

In case of batch processing, the system uses the reference points and priority according to the selected Customizing profile. This setting determines how the system transfers the planned costs from the bill of services (BOS) to work breakdown structure (WBS) elements.

The system can either transfer a costing item individually or a service line cost estimate as a costing node with the costing items of that service line.

For the cost estimate transfer, you must determine the following fields as reference points for service lines and WBS elements:

  • BOS field from table ESLL
  • WBS element field from table PRPS

For the costing item transfer, you must determine the following fields as reference points for costing items of the BOS and WBS elements:

  • BOS costing item field from table KIS1
  • WBS element field from table PRPS

You set the priority for the transfer to avoid ambiguity when transferring both cost estimate and costing item data:

  • Cost estimate transfer priority: The transfer of the service line cost estimate has higher priority.
    • If the reference points for the cost estimate transfer of a service line match, the system transfers the service line cost estimate. This transfer is irrespective of whether the reference points for the transfer of individual costing items (which belong to the matching service line) also match or not.
    • If the reference points for the transfer of a costing item match, but the reference points for the cost estimate transfer of the corresponding service line do not match, the system transfers only the suitable costing item to the WBS element.
  • Costing item transfer priority: The transfer of the costing item has higher priority.
    • If the reference points for the transfer of a costing item match, the system transfers the costing item to the WBS element. This transfer is irrespective of whether the reference points for cost estimate transfer of this service line match or not. In both cases, the service line cost estimate is not even transferred once.
    • If the reference points for the transfer of a service line cost estimate match, but the reference points for the transfer of the costing items (which belong to this service line) do not match, the system transfers the cost estimate.

You have performed costing for the service lines using Easy Cost Planning.

Activities

  1. Create a new profile by choosing a new entry or copying an existing one.
  2. Enter a batch profile name.
  3. Set the reference points for the transfer.
  4. Select the priority for the transfer.
  5. Save the profile.

Further notes

You must ensure that the fields are entered completely and correctly. The batch transfer program will not run if a required field name is wrong or missing.

Example

You have determined the values of the ESLL and PRPS fields as follows:

  • BOS field from table ESLL = MATKL
  • PS field from table PRPS = USR02

Then, according to the Customizing settings, the batch program picks all values from the BOS where the value of MATKL is equivalent to the value of USR02 in the WBS for the given project or WBS.

For example, if there are eight service records in the BOS with a MATKL value equivalent to '01', and if there is one record in WBS with a value USR02 equivalent to '01' then these eight records are transferred to the respective WBS.
