Use

In this IMG activity, you make the settings for the user interface for services in the Personal Information area.

For each country, the table contains the infotypes, active subtypes, and the relevant use case for the Personal Information service area. You can define which subtypes are to be active for each infotype and which can be changed by employees. Furthermore, you can define the use case for each infotype or subtype.

By defining a use case, you can control which kinds of data records your employees are permitted to create. The following types areavailable to you: A1 to A6 and B1 to B5. The following information is encrypted in the use case:

  • The first character indicates the validity. You can use this character to insert information about the time constraints of the data record.
    • A means that data records with a certain start or end date can be created and that multiple data records can exist at the same time.
    • B means that data records can also be created without a start or end date and that it is not possible to have multiple data records at the same time.

The standard setting allows the start date to be the current date or a future date. If you would like to permit a start date in the past, you can use the Business Add-In HRXSS_PER_BEGDA. For more information, see the documentation to the IMG activity HRXSS_PER_BEGDA>Change Default Start Date.

  • The second character contains various further settings for a specific infotype or subtype.

    For example, you can set whether a certain infotype record must be available during a person's employment at the company.

Standard settings

The setting in the SAP standard system dictates that employees are permitted to create records with a valid-from-date in the future for theAddresses infotype (0006) only.

SAP recommends that you do not change the standard entries for ESS scenarios. If you do want to make changes to these settings, proceed as explained in the Activities section.

Activities

Add/Delete Subtype

  1. To check the infotypes or subtypes, choose Position.
  2. Enter the relevant country.
  3. Check the subtypes active for each infotype.
  4. To add a subtype, create a new entry in the table.
  5. To deactivate an active subtype, delete the relevant entry from the table.
  6. Save your entries.

Check Use Case

  1. To check the use case for each infotype or subtype, choose Position.
  2. Enter the relevant country and the infotype.
  3. Check the use case.
  4. If necessary, change the use case.
  5. Save your entries.

Example

Example 1

On her first workday, an employee is asked to enter her personal information in ESS. In the Personal Data service (infotype 002), From Today is proposed automatically as the validity date. The start date is the date of the entry and the end date is the 12/31/9999.

In this example, the setting must be as follows:

Example 2

An employee is soon to be transferred to a new location. He takes one week of leave before the move. Although his new address is not yet active, he wants to create it in the system so that it will be active when he starts work. In the Addresses service (infotype 0006), he chooses Valid from <MM/DD/YY> and enters the day of the move.

In this example, the setting must be as follows:

In this case, the employee is permitted to create records with a valid-from-date in the future.

Example 3

On her first workday, an employee is asked to enter her personal information in ESS. In the Family Member/Dependents service (infotype 0021), she creates a record for her daughter. She cannot enter any dates. The system internally proposes today's date as the start date for the record and the end date is the 12/31/9999. These default values are not displayed.

She then creates a record for her son. She cannot enter any dates. The system internally proposes today's date as the default start date and the end date is 12/31/9999. The records for the employee's son and daughter exist independently of one another and the overlap has no effect on the user interface.

In this example, the setting must be as follows:
