In this step you maintain, per institution group, the data of one or more institutions relevant to your company.

For each institution group a number of institutions can be created. An institution is known by an institution code. Per institution you can enter data like the name, address, contact data and language of the institution.

Example

An institution can be:

  1. An external institution with which the employer has to communicate.
    Examples:
    1. The National Office for Social Security.
      This institution belongs to institution group 0001.
      In general one institution will be created for the national office for social insurance.
      However it is possible to create more institutions if you want to maintain the data of the institution in different languages. So you could create an institution code 0001, containing the data for the ONSS in French and an institution code 1001 containing the data for the RSZ in Dutch.
    2. The Child Allowance Fund(s).
      Institution group 0005 can consist of one or more child allowance funds, for example:
      0001    Rijksdienst voor Kinderbijslag voor Werknemers
      0002    Office National d'Allocations familiales pour travailleurs salariés
      0011    Kinderbijslagfonds �
      0012    Caisse d'Allocations �
  2. A semi-external institution.
    For example the sender for the Belcotax declaration (institution group 0012).
    Company A can define another company B as mandatory, meaning that company B executes the Belcotax declaration for company A. Company B is called the sender of the declaration.
    Institution group 0012 contains the data of every company/institution being sender for the Belcotax declaration.
    If your company also is the sender, create an institution with data of your own company.
  3. The address data of the head office and the branch offices of your company.
    These data belong to institution group 0030.
    There must exist an institution code for the head office and for each of the branch offices of the company.
    As well as the address data, the following fields are important:
    • the bank account number of the company;
    • tax number: contains the VAT-number;
    • main address: in this field you enter the institution code of the companys head office. By means of this code, the system detects the address data of the head office to which the branch office belongs;
    • appointed person: enter the personnel number of the person who has authority to submit the yearly collective reimbursement declaration for educational leave;
    • Reorganization and Insolvent: indicate for each branch office and head office if they are in reorganization (= in restructuring) or insolvent (= in difficulties).

Requirements

Each institution belongs to an institution group. The institution group must exist in the table of institution groups.

A number of dummy records are supplied with the standard delivery.

Activities

Create per institution group the institutions relevant to your company.

Every institution must be given a 4-digit code.

Enter all relevant data for the institution on the detail screen.
