In this section you determine, dependent on the control variant for Travel Planning, strategies for the different travel service categories. These strategies are used to control the price and availability queries. You have the following options:

Flight:

  • You can control display of the results of an availability query for Display flight list using the travel profile by means of the priority factor. The flights which correspond to the request data are rated by the system according to the travel profile set. You then receive a list of flights sorted by priorities which were assigned in the travel profile set (see assign evaluation criteria).
    If you choose the neutral setting, the system does not rate the flights according to the assigned travel profile and the flight offers are not listed according to their priorities.
  • Using lowest fare search, you control the function of the Best-price flight pushbutton in the Planning manager. You can determine whether and in what way the system is to consider the travel profile when determining the best-price flight offers (see field documentation on Price.Availability).
  • Via the function Automatic price determination you can specify whether for a normal query of flight availability the price should be determined automatically or whether an additional comparison with results of the Best-Price Flight query should be carried out.
  • For the choice of departure and return flights you can specify a certain rule that the user is to comply with (for example, same airline for departure and return flights). For more information, see the documentation on the Round trip flight strategy field.
  • You can also set that any rebookings after a price determination are only allowed according to the travel profile or that a rebooking is to take place regardless of the travel profile. An automatic rebooking without considering the travel profile makes sense, for example, if a travel profile is interpreted very narrowly and therefore no rebooking options into another flight category are offered by the system which correspond to the request data and the travel profile.

Hotel:

  • You can control display of the results of an availability query for Display hotel list using the travel profile by using the priority factor. The hotel providers that correspond to the request data are rated by the system according to the travel profile set. You then receive a list of the providers sorted by the priorities which were assigned in the travel profile set (see assign evaluation criteria).
    If you choose the neutral setting, the system does not rate the hotel providers according to the assigned travel profile and the offers are not listed according to their priorities.
  • To keep to the enterprise-internal trip provisions, you can limit the availability query using different criteria:

Rental car:

  • You can control display of the results of an availability query for Display provider list using the travel profile by using the priority factor. The rental car providers that correspond to the request data are rated by the system according to the travel profile set. You then receive a list of the providers sorted by the priorities which were assigned in the travel profile set (see assign evaluation criteria).
    If you choose the neutral setting, the system does not rate the car rental providers according to the assigned travel profile and the offers are not listed according to their priorities.
  • To keep to the enterprise-internal trip provisions, you can limit the availability query using different criteria:
  • If you select the Extended Search indicator, the user can specify additional criteria in the availability query dialog to narrow the search for available rental cars.

Requirements

You have defined groupings for travel planning control beforehand.

Recommendation

For the hotel sector, we recommend that you control compliance with travel policy by maintaining a hotel catalog or by setting up enterprise-specific hotel rates. This brings a clear advantage compared with control via the travel profile when a connection with a global reservation system is established:
Due to the provider-neutrality of the connected reservation system, the R/3 Travel Planning system receives per hotel query a limited number of available providers chosen at random by the reservation system. It is possible that none of the hotels given top priority by the trip rules in the travel profile will be listed, even if they are available at the time of querying.

This problem can be completely prevented by setting up a hotel catalog: If the hotel catalog is active (see IMG activity Define price and availability strategies), hotel queries are executed directly in the enterprise-specific hotel catalog.

Another option for controlling travel policy is the maintenance of enterprise-specific hotel rates in the SAP Travel Planning System. As soon as you store specifications in the IMG activity Define allowed entries for enterprise-specific hotel rates, the system checks to see if especially negotiated hotel rates exist for a certain location when an availability query is executed. If so, only hotels with these special room rates are returned to SAP Travel Planning by the reservation system. You can also control compliance with the negotiated hotel rates more closely by using the IMG activity Define price and availability strategies.

In addition we recommend for the car rental segment that you do not activate the Only vehicles corresponding to the class rule and Provider list with best-price provider strategies at the same time. By activating both strategies at the same time, a user may be able to get round the class rules defined for him/her by making renewed queries.

Activities

  1. Choose New Entries.
  2. Select a travel planning control variant.
  3. Choose the desired strategy for each travel service category.
  4. Save your entries.
