Use

Renewable Document Management enables you to manage different types of renewable documents for the patients in an institution.

You have to declare a renewable document type in the system by defining a corresponding document type. With the document type, you determine the following:

  • Name of the renewable document
  • Renewable document number range
  • Type of number assignment.

Requirements

If you want to control a special number assignment, you need to have created a specific program in the SAP development environment.

Standard settings

The renewable documents entered in Renewable Document Management are managed internally using document info records in the Document Management System. The Document Management System is a cross-application component of the SAP system.

You assign a specific renewable document to Renewable Document Management and to particular renewable document categories in the IMG activity Define Document Types.

Activities

To maintain a document type for Renewable Document Management, you must make the following specifications:

  1. In the dialog structure in the left-hand screen area, choose Define Document Types.
  2. Maintain the following fields for your document type in the detail screen. For all of the fields in the detail screen not listed below, set the initial value.
    • Document Type:
      • Enter a key for the document type in the Document Type field. You can describe the document type by entering a short text in the Doc. Type Desc. field.
    • Attributes:
      • Set the Version Assignment indicator in the Attributes group box.
      Type of number assignment: You stipulate the method to be used for renewable document number assignment in the Number Assgmt field. See the F1 Help for this field.
      Number of number range for internal/external number assignment: You can define the number ranges for the document type in the Internal Number Range and External Number Range fields.
      Program exit for document number: In the Number Exit field, specify the program that controls number assignment and version numbering for documents. The program MCDOKZNR is provided in the standard system. This program contains a routine (GET_NUMBER) that enables any part of the number to be assigned externally dependent on the document type.
      The standard SAP system assigns a sequence number from the assigned number range.
    • Field Selection:
      • Not all of the fields in the field selection are currently supported in Renewable Document Management. Specify the initial value (SPACE) for these fields.

If documents or (medical) records exist for a document type, you cannot delete the document type.
